Matriz de Evaluación sheet (scoring matrix): you score from 1 to 5 —the cell accepts nothing else— for up to 20 suppliers. Each score is multiplied by the weight you set in Configuración, the total adds up and the ranking comes out on its own.

An RFP (Request for Proposal) seeks complete solutions to a need, evaluating supplier capabilities, experience and approach. An RFQ (Request for Quotation) focuses on price for products or services that are already specified. This template covers both formats in one file.
The highest-value lever in an RFP/RFQ process is competitive negotiation: 2-4% price improvement on spend taken to tender, based on market references EGIXIA uses in its business cases. Yes, and it is the first step in the file. The Configuración sheet ships with five criteria and example weights —total price 30%, quality 25%, lead time 15%, document compliance 15% and service 15%— which are not an Egixia recommendation: they are starting values for you to replace with your own. A formatting rule flags the total cell when the weights stop adding up to 100%, and the matrix recalculates the weighted score and the ranking on its own.
The recommended practice for large companies is between 3 and 5 prequalified suppliers. Fewer than 3 makes negotiation difficult; more than 5 increases administrative cost without significantly improving the outcome. The matrix takes up to 20 rows, in case you need to evaluate a wider universe before shortlisting.
The Excel is the working tool: 7 interlinked sheets and 306 formulas that run the weighted scoring, the ranking and the comparison. The PDF is a simpler printable form, with the request in four sections (project data, criteria, requirements and quotation), meant for taking into a meeting or sending to a supplier who does not work in Excel. They do not share a structure: the calculation lives only in the Excel.
The downloadable template is in Spanish, sheet names included. To send it to English- or Portuguese-speaking suppliers you can translate the cells manually — the structure and the formulas work the same in any language.
