Procurement Digital Maturity Assessment in Excel — Egixia 2026

What this digital maturity assessment solves

Almost every procurement function knows it has to digitalize, but cannot show where it stands today or justify to the board which initiative comes first. Without an objective baseline, the discussion becomes a technology wish list and every team defends its own priority.

This procurement digital maturity assessment turns that conversation into a measurable diagnosis: 25 statements across 5 dimensions —Strategy, Process, Data, Technology and Talent—, scored from 1 to 5, which the workbook consolidates automatically into a score per dimension, a maturity level and the gap against the target.

It does not stop at the diagnosis: the 90-Day Plan sheet turns each gap into an action with an owner, a deadline and a success indicator, ready to take to the executive committee. Built for CPOs, procurement managers, CFOs and IT leaders at large companies in Latin America.

    The 5 dimensions it evaluates

Each dimension is evaluated with 5 maturity statements, scored from 1 to 5 in the Questionnaire sheet.

    Strategy

Alignment of procurement with corporate objectives, a funded digital and AI transformation plan, active executive sponsorship, KPIs beyond cost savings, and supplier management as a strategic role.

    Process

Standardization and digitalization of the source-to-pay cycle, approval flows with clear delegation rules, structured tendering (RFx) methodology, supplier onboarding and evaluation, and contract renewal alerts.

    Data

A single source of truth for spend and contracts, granular spend categorization (spend cube), real-time dashboards, use of historical data to anticipate demand and prices, and supplier data validation.

    Technology

Integrated ERP or e-procurement suite, automation of transactional tasks, AI agents for contract and invoice extraction and analysis, collaborative supplier portals, and secure, scalable cloud infrastructure.

    Talent

Skills in strategic negotiation and data analytics, continuous training on digital tools and AI, time devoted to high-value activities, clear roles and career paths, and a culture of technology adoption.

    The 5 maturity levels

    1. 1

      Level 1 · Initial / Ad-hoc

Reactive, decentralized processes, extreme reliance on spreadsheets and email, almost no spend visibility. Isolated spreadsheets and a basic, unintegrated ERP.

    2. 2

      Level 2 · Developing

First standardization attempts, data fragmented by business unit or plant, tactical buying focused on basic compliance. Transactional systems with manual reporting.

    3. 3

      Level 3 · Defined

Formalized and documented source-to-pay processes, established governance, operational dashboards and systematic savings measurement. E-procurement suite and ERP with standard integration.

    4. 4

      Level 4 · Advanced

Efficient, automated operations, predictive price analytics and proactive supplier risk management. Integrated platform with workflow automation and advanced BI.

    5. 5

      Level 5 · Optimized

An autonomous ecosystem driven by AI agents, algorithmic continuous improvement and assisted negotiations. End-to-end cognitive automation.

    What each sheet contains

    Instructions

Purpose of the tool, the 4 steps to work through the file, and the 1-to-5 rating scale explained level by level, so the whole committee scores with the same criteria.

    Questionnaire

25 maturity statements (5 per dimension) with a validated score column —whole numbers from 1 to 5 only— and an evidence and notes column. It ships pre-filled with an editable example so the dashboard works from the first minute.

    Results

A panel with 23 formulas that recalculate on their own: overall average score, global maturity level, gap against the target and, per dimension, score, level, target, gap and action priority (High, Medium or Low).

    90-Day Plan

An editable roadmap with one row per dimension: improvement area, recommended priority action, suggested owner, deadline within the 90 days, success indicator and progress status.

    References

The 5 maturity levels with their operational description and technology implication: the conceptual framework used to read the scores.

    Template technical features

    Automatic calculation

23 formulas in the Results sheet: change one score and the total, the level and the priority update themselves.

    Validated scoring

The score column only accepts whole numbers from 1 to 5 and warns when a value falls outside the range.

    Target and gap

Each dimension is compared against an editable target (4.5 by default) and the action priority is derived from that gap.

    Excel or Google Sheets

An .xlsx file with no macros, no external connections and no password: it opens and edits in either one.

The guide explains the framework; this Excel applies it

The LATAM procurement digital maturity benchmark develops the 5-dimension, 5-level model, the observable signals of each level and the priorities to move up. This workbook is its operational version: the same logic, already calculated. Read them together — the framework first, then the diagnosis.

Frequently asked questions about the maturity assessment

What is a procurement digital maturity assessment?

It is a structured diagnosis that places the procurement function at a maturity level —from initial to optimized— by evaluating dimensions such as strategy, processes, data, technology and talent. Its value is not the level label, but the gap it reveals dimension by dimension: that is what lets you prioritize initiatives and justify them to the board with an objective baseline.

Which dimensions and levels does this assessment evaluate?

It evaluates 5 dimensions —Strategy, Process, Data, Technology and Talent— with 5 statements each, 25 in total. Each statement is scored from 1 to 5, and that scale maps to the 5 maturity levels: Initial/Ad-hoc, Developing, Defined, Advanced and Optimized, described in the References sheet.

How are the score and the maturity level calculated?

The workbook averages the 5 scores of each dimension to obtain its score, and averages the 5 dimension scores for the overall score. The level is assigned by bands: below 2 is Initial; up to 3, Developing; up to 4, Defined; up to 5, Advanced; and 5 is Optimized. Each dimension's action priority is derived from its gap against the target: high above 1.5 points, medium above 0.8, and low otherwise.

How is it different from the digital maturity benchmark guide?

The guide is the conceptual framework: it explains the dimensions, the 5 levels, the observable signals of each one and the priorities to move up. This Excel is the tool that applies that framework to your organization and returns a score, a gap and a 90-day plan. They are complementary: the guide is read once, the assessment is repeated every six or twelve months to measure progress.
